AI Assistant — how we process your chat data

On drumstore.pl you can talk to the Polmuz Assistant — a chat answered by artificial intelligence, not by a human. Below we explain plainly what happens to what you write in it.

Who is responsible for your data

The data controller is Polmuz Tomasz Stukan, ul. Szczecińska 38/2, 81-326 Gdynia, Poland, tax ID (NIP) 5862161399. Data protection contact: sklep@drumstore.pl.

What we record

  • the conversation — your questions and the assistant's answers, together with the products it showed you,
  • the shop page you are writing from and the language of the conversation,
  • a hash of your IP address (not the address itself) — only to keep bots and abuse away,
  • your email address — only if you give it yourself and agree to be contacted.

Why and on what legal basis

  • To answer your questions about products, availability and orders — steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR).
  • To protect the chat from abuse and keep its costs under control — our legitimate interest (Art. 6(1)(f) GDPR).
  • To pass your case on to our team and reply to you by email — based on your consent (Art. 6(1)(a) GDPR). You can withdraw your consent at any time; this does not affect the processing carried out before.

Who we share data with

  • Anthropic PBC (USA) — provider of the Claude language model that writes the answers. Data is transferred to the USA under the standard contractual clauses approved by the European Commission. Anthropic does not train its models on these conversations and deletes them within 30 days (longer only if a conversation breaches its usage policy).
  • OVH — the server the chat runs on (France).
  • Shopify — when you ask for a product to be added to your cart.
  • Our email provider (server in Germany) — when we pass your case on by email.

How long

We keep the conversation record for 12 months; after that it is deleted automatically. If your case reached us by email, that message stays in our correspondence like any other email from a customer.

Your rights

You have the right to access your data, to have it corrected or erased, to restrict its processing, to data portability, and the right to object. Just write to sklep@drumstore.pl. You can also lodge a complaint with a supervisory authority — in Poland the President of the Personal Data Protection Office (UODO), or the authority in the EU country where you live.

What the assistant does not do

It makes no binding decisions about you: it does not conclude contracts, confirm orders, or set prices or discounts. It shows prices and availability straight from the shop's catalogue. Like any artificial intelligence, it can make mistakes — if in doubt, the product page or contacting us is what counts.
